Sr. Administrative Assistant
We are looking for an experienced and detail-oriented Senior Administrative Assistant to join our team in Tacoma, Washington. In this contract position, you will provide high-level administrative support to executives, commissioners, and other key stakeholders within the organization. This role requires professionalism, discretion, and exceptional organizational skills to ensure smooth operations in a dynamic environment.<br><br>Responsibilities:<br>• Provide comprehensive administrative support to the Executive Director, Port Commissioners, and Chief of Strategic Projects & Commission Relations.<br>• Manage and coordinate calendars for executives and commissioners, ensuring optimal scheduling and prioritization of appointments and meetings.<br>• Prepare and handle confidential communications, including drafting letters, reports, and memoranda with a high level of professionalism.<br>• Serve as a liaison between the Executive Office and internal staff, fostering effective communication and a welcoming environment.<br>• Coordinate logistics for high-profile events and assist with special event planning as needed.<br>• Support onboarding activities for newly elected commissioners, ensuring smooth integration into the team.<br>• Utilize Microsoft Office Suite, including Outlook and Excel, to manage documentation and streamline administrative tasks.<br>• Represent executives and commissioners in external communications, maintaining confidentiality and professionalism at all times.<br>• Anticipate the needs of executives and commissioners by understanding organizational priorities and goals.
• Proven experience in administrative support roles, preferably in executive-level environments.<br>• Strong proficiency in Microsoft Office Suite, including Outlook, Excel, and SharePoint.<br>• Excellent calendar management skills, with the ability to coordinate schedules for multiple executives.<br>• Demonstrated ability to handle confidential documents and communications with discretion.<br>• Experience planning and coordinating events, including high-profile functions.<br>• Exceptional organizational skills and attention to detail.<br>• Ability to communicate effectively with internal and external stakeholders.<br>• Detail-oriented approach and ability to maintain a high level of confidentiality.
