Sr. Administrative Assistant (part-time)
<p>We are looking for a highly skilled part-time Administrative Assistant to join a company in downtown Spokane, Washington. This contract position requires an individual who thrives in a dynamic environment and excels at providing executive-level support. As part of a growing technology firm, you will play a vital role in managing administrative tasks and ensuring operational efficiency.</p><p><br></p><p>This is a part-time on-site opportunity, about 20 hours per week. This is potentially contract-to-permanent. </p><p><br></p><p>Responsibilities:</p><p>• Coordinate calendars for executive team members, ensuring meetings and deadlines are effectively scheduled.</p><p>• Manage incoming and outgoing mail, as well as office supplies and snack inventory.</p><p>• Provide support in preparing and auditing expense reports</p><p>• Act as a liaison between leadership and external partners, such as HR service providers, when required.</p><p>• Attend leadership meetings, take detailed notes, and follow up on action items as needed.</p><p>• Assist with document preparation and electronic signing</p><p>• Ensure smooth communication within the office and with remote team members, utilizing Microsoft Teams and Outlook.</p><p>• Maintain confidentiality and professionalism while handling sensitive information.</p><p>• Execute ad hoc assignments with precision and efficiency, adapting to evolving priorities.</p><p>• Foster a proactive approach to identifying and solving administrative challenges.</p>
<p>• Minimum of 3-5 years of experience in administrative roles, preferably with executive support.</p><p>• Proficiency in calendar management and scheduling for senior executives.</p><p>• Strong familiarity with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.</p><p>• Exceptional organizational skills and attention to detail in managing expenses and reports.</p><p>• Ability to handle confidential information with discretion and maturity.</p><p>• Demonstrated ability to work independently and take initiative in a fast-paced environment.</p><p>• Effective communication skills, both written and verbal, for interacting with diverse teams and stakeholders.</p>
