Administrative Coordinator
<p>Robert Half is looking for an experienced Administrative Coordinator to join our team in Spokane Valley, Washington. In this role, you will oversee essential administrative tasks that support the daily operations of our construction and contractor services. This is a Contract to permanent position, offering an opportunity to transition into a long-term role based on performance. The ideal candidate will thrive in a fast-paced environment, excel in multitasking, and deliver exceptional organizational and customer service skills.</p><p><br></p><p>Responsibilities:</p><p>• Manage and maintain preventive maintenance contracts, ensuring accuracy from setup to invoicing.</p><p>• Coordinate scheduling and dispatching of service technicians, including ordering necessary parts and verifying documentation.</p><p>• Handle monthly invoicing processes, reconcile records, and maintain accurate contract information.</p><p>• Prepare performance reports for internal teams and customers, ensuring compliance with company procedures.</p><p>• Support administrative functions such as dispatching, inspection coordination, and permit processing.</p><p>• Assist with accounts receivable tasks, including following up on payments and processing credit card transactions.</p><p>• Create and manage purchase orders, packing slips, and vendor invoices using QuickBooks and Excel.</p>
<p>• Previous experience in administrative roles, preferably within construction or contractor services.</p><p>• Proficiency in Microsoft Office Suite, especially Excel, and QuickBooks.</p><p>• Experience in handling accounts receivable and invoicing processes.</p><p>• Familiarity with dispatching and scheduling operations is a plus.</p>
