Property Administrator
We are looking for a detail-oriented Property Administrator to join our team on a contract basis in Seattle, Washington. In this role, you will support property management operations by handling administrative duties, maintaining records, and coordinating with tenants and vendors. This position requires excellent organizational skills and the ability to manage multiple responsibilities efficiently.<br><br>Responsibilities:<br>• Receive, sort, and distribute incoming mail while managing outgoing correspondence and mailings.<br>• Schedule meetings, events, and the use of shared conference rooms within the property.<br>• Review, code, and process accounts payable invoices in line with budget guidelines and input them into the accounting system for payment.<br>• Generate monthly tenant billings, including rent and additional service charges, and ensure timely delivery.<br>• Maintain organized and compliant on-site records, including certificates of insurance, tenant and vendor files, and critical date notifications.<br>• Serve as the primary point of contact for tenants, vendors, and contractors, addressing routine requests and escalating significant issues to management.<br>• Assist with tenant move-ins and move-outs, lease management activities, and ensure proper tenant signage is in place.<br>• Support property management in fostering positive tenant relations by addressing concerns and ensuring high satisfaction levels.<br>• Help prepare the annual budget, conduct variance analysis, and support financial reporting processes.<br>• Manage office supplies inventory, place orders, and ensure proper maintenance of office equipment.
• Proven experience in property management, leasing, or a related field.<br>• Familiarity with property management software such as Yardi is highly preferred.<br>• Strong organizational and multitasking abilities to manage administrative and operational tasks efficiently.<br>• Excellent communication and customer service skills to liaise with tenants, vendors, and contractors.<br>• Proficiency in handling financial processes, including accounts payable and tenant billing.<br>• Ability to maintain accurate records and ensure compliance with company policies.<br>• Experience supporting team operations, including scheduling, budgeting, and variance analysis.<br>• Competence in using office equipment and managing inventory effectively.
