Executive Assistant
We are looking for an Executive Assistant to provide high-level administrative support in San Diego, California. This contract opportunity is ideal for someone who can keep executive schedules organized, prepare meeting materials, and maintain strong communication with internal and external stakeholders. The role calls for sound judgment, attention to detail, and the ability to manage sensitive information with discretion while keeping priorities moving forward.<br><br>Responsibilities:<br>• Organize meetings with customers, vendors, retail contacts, and other business partners, ensuring schedules align with business needs.<br>• Prepare materials for upcoming discussions, including slide presentations, product details, sample items, pricing documents, and status reports.<br>• Oversee executive calendar activity in Outlook by scheduling appointments, adjusting priorities, and addressing conflicts promptly.<br>• Confirm meeting logistics by verifying attendees, distributing necessary materials, and documenting next steps after each session.<br>• Participate in meetings when needed to capture key discussion points, record decisions, and monitor follow-up items through completion.<br>• Communicate in a clear and detail-focused manner with leadership, external partners, and cross-functional internal teams.<br>• Assist with product review activities, sample assessments, and follow-up communication related to customer needs and business discussions.<br>• Safeguard confidential business information and handle sensitive matters with a high level of professionalism and care.<br>• Coordinate travel arrangements and related logistics to support executive meetings and business commitments.
• Demonstrated experience supporting executives or senior leaders in an administrative or executive assistant capacity.<br>• Strong calendar management skills, including scheduling complex meetings and resolving competing priorities.<br>• Experience arranging business travel and coordinating related itineraries and logistics.<br>• Ability to prepare detailed meeting materials such as presentations, reports, and supporting documentation.<br>• Effective written and verbal communication skills for interaction with executives, customers, suppliers, and internal teams.<br>• Strong organizational skills with the ability to track action items and manage multiple deadlines at once.<br>• Proven ability to handle confidential information with discretion and sound judgment.
