Mailroom Assistant
<p>We are looking for an organized and proactive Mailroom and Administrative Assistant to join our team in Richmond, Virginia. This contract position offers an opportunity to contribute to the smooth operation of mailroom services, facilities management, and event coordination. The ideal candidate will have a strong attention to detail and excellent communication skills, ensuring efficient handling of mail, packages, and related tasks.</p><p><br></p><p>Responsibilities:</p><p>• Receive and sort incoming mail and packages, ensuring accurate distribution.</p><p>• Maintain a tracking database for all mail and packages requiring documentation.</p><p>• Communicate with recipients to coordinate deliveries and ensure timely processing.</p><p>• Prepare and process outgoing mail and packages, adhering to organizational guidelines.</p><p>• Manage work order requests, perform facilities-related tasks, and provide updates upon ticket completion.</p><p>• Monitor inventory levels for supplies and oversee restocking schedules for office, break room, and Xerox supplies.</p><p>• Coordinate with clients for office events, including submitting necessary documents to the landlord.</p><p>• Offer light assistance with audio/visual setups as required.</p><p>• Handle small printing, binding, and laminating projects efficiently.</p><p>• Conduct daily floor walks and assist with furniture moves when necessary.</p>
• Minimum of 2 years of experience in a similar role.<br>• Proficiency in answering inbound calls and providing excellent customer service.<br>• Skilled in data entry and managing email correspondence.<br>• Experience with scheduling appointments and managing calendars.<br>• Proficient in Microsoft Excel, Outlook, PowerPoint, and Word.<br>• Ability to handle inbound and outbound calls professionally.<br>• Strong organizational skills and attention to detail.<br>• Physical ability to perform tasks involving moving and lifting.
