Executive Assistant
<p>We are looking for a highly organized and proactive Executive Assistant to join our team on a contract basis in Richmond, Virginia, with an opportunity to convert permanently. In this role, you will serve as a key point of contact, providing executive-level administrative support while ensuring smooth office operations. The ideal candidate thrives in a dynamic environment and is skilled in managing schedules, coordinating meetings, and handling travel arrangements.</p><p><br></p><p>Responsibilities:</p><p>• Oversee office management tasks, including maintaining supplies, equipment, and technology resources to support employees effectively.</p><p>• Manage executive calendars, schedule appointments, and arrange travel accommodations for leadership and board members.</p><p>• Serve as the primary point of contact at the office, welcoming visitors and ensuring a meticulous front-of-house experience.</p><p>• Coordinate and facilitate Board of Directors and Leadership Tactical meetings, including preparing meeting packets and recording minutes.</p><p>• Process technology-related requests to ensure the team has the tools they need to perform efficiently.</p><p>• Attend board meetings to take detailed notes and manage meeting minutes.</p><p>• Interact with employees and volunteers across all levels of the organization in a courteous and respectful manner.</p><p>• Ensure smooth communication and collaboration between the executive team and other departments.</p>
<p>• Minimum of 2 years of experience as an Executive Assistant or in a similar administrative role.</p><p>• Required experience with Google Suite, general tech savviness.</p><p>• Proficiency in managing executive calendars and scheduling appointments.</p><p>• Proven ability to coordinate and arrange travel plans, including booking accommodations and transportation.</p><p>• Strong communication and interpersonal skills to interact effectively with diverse stakeholders.</p><p>• Experience in preparing meeting materials and taking accurate meeting minutes.</p><p>• Familiarity with office technology and resource management.</p><p>• High level of discretion and professionalism when handling sensitive information.</p>
