Executive Assistant
We are looking for an experienced Executive Assistant to provide high-level administrative and operational support for a manufacturing team in Plano, Texas. This Long-term Contract position is ideal for someone who thrives in a dynamic environment, keeps priorities organized, and delivers detail-oriented support to leadership and cross-functional partners. The role will combine calendar and meeting coordination, travel support, event logistics, and financial administration while helping the team operate smoothly day to day.<br><br>Responsibilities:<br>• Facilitate onboarding activities for new employees and contingent staff, including coordination for both local and remote team members.<br>• Arrange workspace setup, equipment requests, and other office logistics to ensure team members have the resources they need.<br>• Provide administrative support to leadership by organizing travel plans and preparing accurate expense submissions.<br>• Plan and coordinate internal meetings, leadership sessions, workshops, and off-site gatherings, ensuring logistics run efficiently.<br>• Schedule conference rooms and oversee meeting technology arrangements so presentations and discussions proceed without disruption.<br>• Help organize employee engagement initiatives and special events that support team culture and collaboration.<br>• Coordinate with cross-functional stakeholders to align schedules, meeting details, and workshop requirements.<br>• Assist with operational finance tasks such as invoice handling, monthly accrual support, purchase requisitions, and vendor-related coordination.<br>• Reconcile departmental purchasing card transactions with strong attention to accuracy, documentation, and policy compliance.
• At least 5 years of experience in an administrative or executive assistant capacity.<br>• Strong ability to manage calendars, travel arrangements, executive meetings, and multiple competing priorities.<br>• Advanced skills in Microsoft Outlook, Teams, PowerPoint, Excel, and Word.<br>• Excellent written and verbal communication skills with the ability to interact professionally across all levels of an organization.<br>• Proven organizational skills and strong time management in a fast-paced business environment.<br>• High degree of professionalism, discretion, and attention to detail.<br>• Experience supporting operational processes such as expense reporting, invoice processing, or vendor coordination is preferred.
