Facilities Assistant
We are looking for a highly organized and detail-oriented Facilities Assistant to join our team on a contract basis in Palo Alto, California. This role will last approximately 4 to 6 weeks and require 30 hours of work per week. The successful candidate will support the Chief Human Resources Officer and Chief Operating Officer by assisting with facilities project management and financial analysis, helping optimize operations within the Facilities team.<br><br>Responsibilities:<br>• Evaluate and propose enhancements to the 'SchoolDude' facilities request and ticketing system to improve approval workflows and reporting capabilities.<br>• Analyze facilities budgets and categorize expenditures to improve tracking and financial oversight.<br>• Collaborate with leadership to deliver actionable insights for budget optimization and decision-making.<br>• Streamline processes within the Facilities team by identifying inefficiencies and implementing effective solutions.<br>• Provide systems support and optimize workflows for back-end operations, focusing on tools such as 'SchoolDude'.<br>• Manage complex projects and tasks while ensuring alignment with organizational goals.<br>• Develop and implement improved reporting structures to enhance transparency and operational efficiency.<br>• Offer support on ticketing systems and backend workflows to facilitate better facilities management.<br>• Ensure effective communication and collaboration across teams to align operations with strategic priorities.
• A minimum of 1 year of experience in facilities operations or related fields.<br>• Proven expertise in project management and process improvement.<br>• Strong financial analysis skills, including the ability to evaluate and categorize budgets effectively.<br>• Hands-on experience with computerized maintenance management systems (CMMS) and tools such as 'SchoolDude'.<br>• Familiarity with facilities ticketing systems and backend workflows.<br>• Exceptional organizational and problem-solving skills to manage complex tasks in a fast-paced environment.<br>• Proficiency in systems like Kronos Timekeeping System or similar tools.<br>• Excellent communication and collaboration abilities to work with senior leadership and cross-functional teams.
