Administrative Assistant
We are looking for a dedicated Administrative Assistant to join our team on a contract basis in Palm Desert, California. In this role, you will serve as the first point of contact for visitors and clients while providing essential administrative support to ensure smooth office operations. The ideal candidate will bring strong organizational skills and a customer-focused attitude to this dynamic position.<br><br>Responsibilities:<br>• Welcome and assist visitors, clients, and employees with a detail-oriented and friendly approach.<br>• Schedule appointments, manage conference room bookings, and coordinate team calendars.<br>• Perform administrative tasks such as filing, data entry, and maintaining accurate records.<br>• Process incoming and outgoing mail, packages, and deliveries efficiently.<br>• Monitor office supplies inventory and coordinate orders to maintain a well-stocked workspace.<br>• Keep visitor logs and verify identification to ensure compliance with check-in procedures.<br>• Maintain and organize databases, logs, and files for front desk operations.<br>• Provide general support to team members and address inquiries as needed.<br>• Ensure a clean and organized reception area that reflects a detail-oriented image.
• High school diploma or equivalent; an associate degree is preferred.<br>• At least one year of experience in an administrative or receptionist role.<br>• Strong organizational skills with the ability to multitask effectively.<br>• Excellent verbal and written communication abilities.<br>• A customer service-oriented mindset and the ability to remain composed in high-pressure situations.<br>• Proficiency in basic office software; familiarity with scheduling tools is a plus.<br>• Reliability, punctuality, and a detail-oriented approach.<br>• Ability to maintain confidentiality and handle sensitive information responsibly.
