Facilities Assistant
We are looking for a detail-oriented Facilities Assistant to join our team on a contract basis in New York, New York. In this role, you will assist with the day-to-day management of facilities operations, ensuring smooth functionality across various systems and spaces. The ideal candidate will have experience in maintenance coordination, conference room management, and proficiency with computerized systems.<br><br>Responsibilities:<br>• Coordinate and oversee the scheduling and maintenance of conference rooms to ensure functionality and cleanliness.<br>• Utilize Computerized Maintenance Management Systems (CMMS) to track, prioritize, and complete facility-related tasks.<br>• Collaborate with the Facilities Coordinator to address operational needs and resolve issues promptly.<br>• Monitor and manage inventory levels for supplies and equipment, ensuring availability for daily operations.<br>• Assist with timekeeping and scheduling using systems such as Kronos.<br>• Conduct routine inspections of facilities to identify maintenance needs and ensure compliance with safety standards.<br>• Respond to service requests and emergencies to maintain uninterrupted operations.<br>• Communicate effectively with vendors and contractors to facilitate repairs and maintenance projects.<br>• Provide general support to the facilities team to enhance operational efficiency.<br>• Maintain accurate records and documentation related to facility operations.
• Previous experience in facilities management or a related field.<br>• Proficiency with Computerized Maintenance Management Systems (CMMS).<br>• Familiarity with conference room scheduling and management.<br>• Knowledge of Kronos or similar timekeeping systems.<br>• Strong organizational and multitasking abilities.<br>• Excellent communication skills for interacting with team members and external vendors.<br>• Ability to perform routine inspections and identify maintenance needs.<br>• Understanding of safety standards and protocols in facilities operations.
