Development and Philanthropic Services Specialist
We are looking for a detail-oriented Development and Philanthropic Services Specialist to join our team on a contract basis in Milwaukee, Wisconsin. This role focuses on supporting administrative and operational activities related to donor services, gift processing, and database management. The ideal candidate will excel in handling donor communication, maintaining accurate records, and ensuring the smooth execution of department processes.<br><br>Responsibilities:<br>• Process and record all incoming gift transactions, ensuring accuracy in data entry and timely acknowledgment letters.<br>• Maintain donor management systems by creating and updating fund records, ensuring database integrity, and generating regular reports.<br>• Coordinate the distribution of quarterly financial statements and related materials, ensuring they are accurate and delivered on time.<br>• Communicate with donors to provide updates on fund balances, gift statuses, and other related inquiries.<br>• Organize and manage fund files, both electronic and physical, ensuring all documentation is properly stored and accessible.<br>• Assist team members with scheduling, meeting coordination, travel arrangements, and expense reporting.<br>• Plan and coordinate logistics for meetings and events, including securing venues, preparing materials, and managing registrations.<br>• Prepare and distribute correspondence, agendas, reports, and other documents to support departmental operations.<br>• Handle donor-related mailings, appeals, and publications, ensuring timely and accurate delivery.<br>• Collaborate with Marketing and Communications to maintain updated marketing collateral and presentation materials.
• Proven experience in administrative support, donor communication, or fundraising activities.<br>• Proficiency in donor database management and maintaining accurate records.<br>• Strong organizational skills with the ability to manage multiple tasks and deadlines.<br>• Excellent written and verbal communication skills to interact effectively with donors and team members.<br>• Familiarity with data entry processes and reporting systems.<br>• Ability to build and maintain strong relationships with donors and stakeholders.<br>• Competency in calendar management and event coordination.<br>• Attention to detail and commitment to maintaining confidentiality in all donor-related activities.
