Administrative Assistant
We are looking for an experienced Administrative Assistant to join our team on a contract basis in Houston, Texas. The ideal candidate will excel in managing day-to-day office operations while efficiently supporting executive leadership. This position requires exceptional organizational skills and a proactive approach to tasks.<br><br>Responsibilities:<br>• Serve as the primary front desk receptionist, ensuring a welcoming environment and managing incoming calls.<br>• Coordinate and maintain executive calendars for two Presidents, scheduling meetings and appointments with precision.<br>• Prepare and track expense reports, ensuring accuracy and timely submissions.<br>• Arrange travel plans, including booking flights, accommodations, and transportation.<br>• Perform accurate data entry tasks to support various administrative needs.<br>• Manage office inventory, ensuring supplies are fully stocked and organized.<br>• Handle general office duties, including filing, correspondence, and maintaining records.<br>• Assist with event preparation and provide support during events, which may occur outside regular office hours.<br>• Utilize tools like Memberly, MailChimp, and NetSuite to streamline administrative processes, if applicable.
• Proven experience as an Administrative Assistant or in a similar role.<br>• Strong proficiency in handling receptionist duties and managing inbound calls.<br>• Expertise in executive calendaring and scheduling.<br>• Skilled in preparing and managing expense reports and travel arrangements.<br>• Solid data entry skills with attention to detail.<br>• Ability to manage office inventory and perform general administrative tasks.<br>• Flexibility to assist with events, including availability outside standard office hours.<br>• Familiarity with Memberly, MailChimp, and NetSuite is a plus but not mandatory.
