<p>We are looking for a detail-oriented Associate to provide administrative support to both the Standards Administrator and Member Services Department in Honolulu, Hawaii. This role involves coordinating processes, managing documentation, and ensuring smooth operations for committees, mediations, and hearings. Preference will be given to applicants currently residing in Hawaii due to the nature of the job requirements.</p><p><br></p><p>Responsibilities:</p><p>• Support the Standards Administrator by managing documentation, scheduling meetings, and preparing agendas for committee activities.</p><p>• Coordinate logistics for both virtual and in-person meetings, including room setup and catering arrangements.</p><p>• Provide administrative assistance for mediations and hearings, including scheduling participants and drafting agreements.</p><p>• Maintain accurate records and track case data in electronic databases for statistics and compliance purposes.</p><p>• Assist with the administration of Ombudsman services by handling initial intake, assigning cases, and ensuring follow-ups.</p><p>• Communicate with parties involved in cases regarding abeyance and sanction completion through written correspondence.</p><p>• Prepare financial reports and process expense reimbursements for department staff.</p><p>• Update departmental calendars, set up virtual meetings, and assist in travel arrangements as needed.</p><p>• Ensure confidentiality in handling standards and membership-related matters.</p><p>• Perform additional administrative tasks and duties as assigned to support organizational goals.</p>
• At least two years of experience in administrative support roles.<br>• Strong ability to communicate effectively with discretion and professionalism.<br>• Proven accuracy in handling tasks with minimal supervision.<br>• Excellent organizational and multitasking abilities to manage priorities in a dynamic environment.<br>• Proficiency in Microsoft Office Suite, internet tools, and other office equipment.<br>• Physical capability to lift up to 20 lbs and sit for extended periods.<br>• Demonstrated ability to work collaboratively within a team.<br>• Commitment to maintaining confidentiality in sensitive matters.
