Purchasing Assistant
<p>We are looking for a detail-oriented Purchasing Assistant to join our team in Goleta, California. In this long-term contract role, you will play a key part in ensuring purchasing processes run smoothly and efficiently by providing administrative support and managing purchasing documentation. If you are skilled in interpreting complex documents and adept at using software tools, we encourage you to apply.</p><p><br></p><p>Responsibilities:</p><p>• Update and maintain project data in the purchasing database by analyzing and interpreting document content.</p><p>• Scan, file, and attach relevant documents to digital project files for streamlined record-keeping.</p><p>• Review purchase requisitions and accompanying documents to ensure compliance with departmental and legal standards.</p><p>• Assist with mail operations, including sorting, delivering, and tracking mail items as needed.</p><p>• Prepare bulk mailings, handle certified mail, and track critical packages and documents.</p><p>• Collaborate with vendors and internal teams to address purchasing-related inquiries and resolve issues.</p><p>• Ensure accuracy in purchasing documentation to support financial and legal requirements.</p><p>• Utilize software applications to optimize purchasing workflows and manage data effectively.</p>
• Proficiency in understanding, interpreting, and summarizing complex purchasing documents, including legal and financial content.<br>• Strong computer skills, especially in Microsoft Office applications, with the ability to learn new systems quickly.<br>• Experience working with ERP systems and accounting software.<br>• Solid knowledge of accounts payable processes and buying procedures.<br>• Ability to manage multiple tasks in a fast-paced environment while maintaining attention to detail.<br>• Excellent written and verbal communication skills for effective collaboration with vendors and stakeholders.<br>• Familiarity with bulk mail preparation and certified mail handling processes.<br>• Previous experience in purchasing or similar administrative roles preferred.
