Project Management Administrative Assistant
<p>We are looking for an organized and detail-oriented Project Management Administrative Assistant to support the operations of a commercial construction firm in Franklin, Tennessee. This role involves handling diverse administrative tasks, including data entry, purchase order documentation, and collaboration with project management teams. This is a Contract to permanent position, for apx 30 hours/wk (or five 6-hour days), offering the opportunity to contribute to a dynamic and detail-oriented small-office environment.</p><p><br></p><p>Responsibilities:</p><p>• Perform extensive data entry and maintain accurate records from various sources.</p><p>• Review purchase orders and gather required documentation for project management.</p><p>• Manage and organize large spreadsheets using Microsoft Excel for data tracking and analysis.</p><p>• Utilize Sage 100 Contractor software to support administrative and project management tasks.</p><p>• Assist the project management team with day-to-day operations and administrative support.</p><p>• Ensure all documentation and forms are completed with high attention to detail.</p><p>• Communicate effectively with team members and vendors to maintain workflow efficiency.</p><p>• Adapt to working independently some days and collaboratively in a bustling office environment.</p><p>• Provide receptionist duties, including answering inbound calls and directing inquiries.</p><p>• Support commercial construction projects by maintaining familiarity with industry-specific documentation and processes.</p>
• Minimum of 2 years of experience in administrative roles, preferably within a construction setting.<br>• Proficiency in Sage 100 Contractor software is required.<br>• Advanced skills in Microsoft Excel, including managing and navigating large datasets.<br>• Strong organizational abilities with a keen eye for detail.<br>• Comfortable working both independently and in a team-oriented environment.<br>• Familiarity with commercial construction projects and related documentation is highly preferred.<br>• Excellent communication skills, both written and verbal.<br>• Ability to adapt to a small-office setting and handle various administrative responsibilities.
