Administrative Assistant
We are looking for a detail-oriented Administrative Assistant to join our team in Fort Wayne, Indiana. This is a long-term contract position that involves supporting daily operations, managing administrative tasks, and maintaining organizational efficiency. The ideal candidate will excel in multitasking and have strong communication skills to collaborate effectively with team members.<br><br>Responsibilities:<br>• Prepare routing forms, filing instructions, cover letters, and returns under the guidance of consultants.<br>• Organize and distribute incoming mail by date stamping, sorting, scanning, and assigning it to the appropriate team members.<br>• Process outgoing mail, ensuring proper preparation and timely delivery to the post office.<br>• Maintain physical files by organizing completed documents and overseeing internal filing systems.<br>• Monitor office supply inventory, coordinate requests with the office manager, and ensure supplies are well-stocked.<br>• Ensure office equipment and common areas, such as printers and review tables, are stocked and orderly.<br>• Manage meal orders for team meetings, including vendor coordination and maintaining a record of preferred partners.<br>• Create and update detailed process instructions for assigned tasks and responsibilities.<br>• Support company initiatives by assisting with LinkedIn activities and projects as needed.
• Proven experience in administrative support or a similar role.<br>• Proficiency in data entry and handling email correspondence.<br>• Advanced knowledge of Microsoft Office Suite applications.<br>• Ability to manage mail processing tasks efficiently.<br>• Strong skills in documenting processes and procedures.<br>• Experience in maintaining supply inventories and coordinating orders.<br>• Familiarity with LinkedIn for business-related tasks.<br>• Exceptional organizational and multitasking abilities.
