Executive Assistant
<p>We are seeking an experienced and detail-oriented Executive Assistant to provide high-level administrative support to a Chief Executive Officer (CEO). The ideal candidate will have at least 8 years of related experience, preferably in roles supporting executives and leadership teams. The role requires exceptional organizational and communication skills, proactive problem-solving, and the ability to handle multiple priorities.</p><p><br></p><p><strong>Key Responsibilities</strong></p><ul><li><strong>Schedule Management</strong>: Maintain and coordinate the CEO’s calendar, including organizing meetings, events, and appointments to ensure optimal time management </li><li><strong>Travel Arrangements</strong>: Arrange domestic and international travel for the CEO and other executives as required, including booking flights, accommodations, and ground transportation </li><li><strong>Meeting Assistance</strong>: Prepare for and organize meetings by scheduling attendees, assembling relevant documentation, and setting up presentation tools. Attend meetings to take detailed notes and record accurate meeting minutes </li><li><strong>Communication Management</strong>: Manage communication on behalf of the CEO, including responding to emails, drafting correspondence, and filtering incoming inquiries to prioritize urgent tasks</li><li><strong>Town Hall Documentation</strong>: Gather information for monthly town hall meetings, including content from different teams, and create engaging PowerPoint presentations to summarize key points and updates </li><li><strong>Administrative Support</strong>: Handle miscellaneous administrative tasks, such as managing mail, completing expense reports, and assisting with additional projects as needed </li></ul><p><strong>Qualifications</strong></p><ul><li><strong>Experience</strong>: Minimum of 5 years of administrative experience, preferably in executive or leadership support roles.</li><li><strong>Technical Skills</strong>: Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel; familiarity with tools for scheduling and time management </li><li><strong>Communication</strong>: Strong verbal and written communication skills. Ability to interact professionally with stakeholders at all levels.</li><li><strong>Organizational Skills</strong>: Demonstrated ability to manage complex schedules, prioritize tasks, and remain flexible under tight deadlines.</li><li><strong>Problem-Solving</strong>: Proactive approach to identifying and solving issues independently.</li></ul><p><strong>Work Environment</strong></p><ul><li>This position requires occasional travel alongside the CEO to attend meetings and events.</li><li>Collaboration with diverse teams across departments.</li></ul><p><br></p>
