Vice President of Property Management Operations
Position Overview A Robert Half client is looking for a dynamic and experienced Vice President of Property Management Operations to lead and optimize property management activities. This key leadership position is responsible for ensuring seamless operational performance across property portfolio, fostering strong customer relationships, and enhancing operational effectiveness. The candidate we seek will have a proven track record in property management, in-depth knowledge of landlord-tenant regulations, and expertise in industry-specific technologies. This position is 100% on-site, offers a full benefits package and additional compensation incentives. Key Responsibilities: Spearhead efforts to recruit, permanent, mentor, and develop Property Managers and essential site staff, including leasing, maintenance, and special project technicians. Conduct consistent site visits while maintaining regular communication channels with Property Managers. Lead annual performance assessments for Property Managers and oversee team performance evaluations conducted by staff managers. Provide leadership guidance and engage in performance management initiatives for team members. Perform quarterly property audits and implement strategies for improvement. Execute property inspections while collaborating with team members on actionable plans to improve property conditions. Supervise operational excellence at the site level in alignment with broader corporate objectives and standards. Establish standardized processes while fostering continuous improvements across the portfolio. Address resident concerns and complaints with professionalism and efficiency. Ensure compliance with all company policies and procedures across properties. Manage the annual budget creation process for each property, including leading training sessions and conducting reviews. Oversee portfolio-wide financial health, including budget adherence, delinquency tracking, and growth strategies, addressing any areas of concern promptly. Deliver performance reports on the portfolio to the executive leadership/ownership team as scheduled. Stay informed about governing agency regulations and ensure portfolio compliance. Represent and oversee legal proceedings as required. Manage employee and property-related incident reports, including necessary documentation, resident engagement, and insurance coordination. Organize periodic compliance and risk management training for staff. Monitor vendor performance and address substandard execution at the vendor or site level. Conduct market analyses with Property Managers to assess competitive positioning. Recommend changes to pricing structures, amenities, and revenue strategies to maximize portfolio performance. Review and refine strategies for customer retention and reputation management (e.g., online reviews, resident satisfaction surveys). Act as the primary advocate and liaison between leadership and property management teams. Present strategic insights, opportunities, and risk assessments to leadership teams. Communicate evolving risks, opportunities, and trends to ownership clearly and transparently. Undertake additional projects and tasks as assigned by leadership.
Qualifications: Minimum of 8 years’ progressive experience in property management, including multi-site/portfolio or high-rise leadership. Proven leadership capabilities, including supervising Property Managers directly. Expertise in property operations, financial management, and compliance oversight. Strong understanding of maintenance best practices and vendor relationship management. In-depth knowledge of Fair Housing regulations, landlord-tenant laws, and risk management principles. Experience working with private or entrepreneurial ownership groups is preferred.
