Office Clerk
We are looking for a detail-oriented Office Clerk to join our team on a contract basis in Chattanooga, Tennessee. This role involves working in a highly confidential and regulated environment, where accuracy and discretion are essential. The position offers an opportunity to contribute to the smooth operation of an organized office setting while adhering to strict confidentiality standards.<br><br>Responsibilities:<br>• Organize, scan, and route incoming mail to the appropriate recipients or departments.<br>• Maintain the general tidiness of the office, including organizing client files, managing the file room, and ensuring the lobby and kitchen are presentable.<br>• Accurately file documents both electronically and physically, following established systems and protocols.<br>• Prepare the office for client visits by handling tasks such as trash removal and coffee setup.<br>• Collaborate with colleagues to ensure that all paperwork and files are correctly sorted and placed in designated folders.<br>• Handle incoming calls using a multi-line phone system and direct them appropriately.<br>• Assist with distributing incoming mail and ensuring timely delivery.<br>• Sign and adhere to multiple non-disclosure agreements to maintain confidentiality when working with sensitive documents.<br>• Support the team in managing documents related to law enforcement, conservatorship, and juvenile records.<br>• Ensure compliance with confidentiality requirements and protective orders tied to specific cases.
• Previous experience in a medical, legal, or similarly regulated environment where confidentiality is critical.<br>• Proficiency in handling scanning and filing tasks with keen attention to detail.<br>• Ability to manage incoming and outgoing mail efficiently.<br>• Familiarity with using a multi-line phone system.<br>• Strong organizational skills to maintain physical and digital filing systems.<br>• Comfortable working in an environment with law enforcement clients.<br>• Ability to comply with strict confidentiality agreements and protective orders.<br>• Business casual attire required, suitable for a detail-oriented office setting.
