Sr. Administrative Assistant
We are looking for a highly skilled and organized Sr. Administrative Assistant to provide executive-level support to senior leadership in a fast-paced environment. This contract position is based in Charlotte, North Carolina, and requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities effectively. The role involves overseeing critical administrative functions, coordinating events, and ensuring smooth operational processes.<br><br>Responsibilities:<br>• Manage executive calendars, coordinate meetings, and ensure deadlines are met for senior leadership.<br>• Arrange and oversee complex travel plans, conference schedules, and external engagements with vendors and industry partners.<br>• Prepare, edit, and proof executive communications, presentations, reports, and briefing materials for various stakeholders.<br>• Organize and support high-profile meetings and events, including developing agendas, preparing materials, and documenting minutes.<br>• Screen and prioritize incoming communications, ensuring timely follow-up on important matters.<br>• Act as a liaison between senior leadership, city officials, external partners, and technology vendors to build and maintain strong relationships.<br>• Track and monitor progress on key projects, governance decisions, and executive commitments to ensure accountability.<br>• Handle sensitive and confidential information with discretion and sound judgment.<br>• Support workforce development initiatives, recognition programs, and growth-oriented activities within the department.<br>• Conduct research and prepare background materials to assist leadership in decision-making processes.
• Proven experience in executive-level administrative support, preferably in a technology or corporate environment.<br>• Proficiency in managing dynamic calendars and coordinating complex schedules.<br>• Demonstrated ability to arrange travel and organize conferences or events.<br>• Strong skills in preparing and editing detailed documents, presentations, and reports.<br>• Excellent communication and interpersonal skills with the ability to build relationships across various levels.<br>• High level of discretion and the ability to maintain confidentiality.<br>• Strong organizational skills and the ability to manage multiple priorities effectively.<br>• Proficiency in tools and software used for administrative tasks, such as calendar management and document preparation.
