Administrative Assistant
<p>We are looking for a highly organized and detail-oriented Administrative Assistant to join our team on a contract basis in Brunswick, Maine. This hybrid role requires working two days onsite and three days remotely each week, with all necessary equipment provided. If you excel in communication, coordination, and administrative tasks, we encourage you to apply for this exciting opportunity.</p><p><br></p><p>Responsibilities:</p><p>• Arrange and manage logistics for meetings, including scheduling, room reservations, agenda preparation, and distribution of materials.</p><p>• Take detailed minutes during meetings and maintain organized records of both digital and physical copies for auditing and approval purposes.</p><p>• Provide approved agendas and meeting minutes to the Executive Assistant for further committee or board approvals, ensuring all conditions and dates are accurately documented.</p><p>• Utilize Microsoft Office tools such as Excel, Word, Teams, and Outlook daily for documentation, communication, and task management.</p><p>• Coordinate schedules across multiple teams and ensure all participants are informed of meeting details and changes.</p><p>• Handle data entry tasks with precision and attention to detail to maintain accurate records.</p><p>• Perform general office duties such as filing, answering calls, and managing reception-related tasks as needed.</p><p>• Assist with organizing and maintaining an efficient filing system for easy retrieval of important documents.</p><p>• Ensure audiovisual equipment is set up and functioning properly for meetings.</p><p>• Communicate effectively with team members to facilitate smooth operations and address any logistical challenges.</p>
• Proven experience in administrative support or a related role.<br>• Proficiency in Microsoft Office applications, including Excel, Word, Teams, and Outlook.<br>• Strong organizational skills with the ability to manage multiple tasks and priorities effectively.<br>• Exceptional communication skills to coordinate with various teams and stakeholders.<br>• Demonstrated ability to take accurate meeting minutes and maintain detailed records.<br>• Experience in scheduling and coordinating meetings, including managing logistics and materials.<br>• Ability to work independently and collaboratively in a hybrid work environment.<br>• High attention to detail and the capability to handle sensitive information with confidentiality.
