Administrative Assistant
<p>We are looking for an organized and detail-oriented Administrative Assistant to join our team on a contract basis. This hybrid role is based in Brunswick, Maine, and involves a combination of in-office and remote work, requiring exceptional communication skills and the ability to manage multiple priorities. The position offers an exciting opportunity to support key organizational functions while collaborating with a dedicated team.</p><p><br></p><p>Responsibilities:</p><p>• Coordinate logistics for meetings, including maintaining the pipeline, scheduling, preparing agendas and materials, and ensuring quorum status.</p><p>• Manage digital and physical records of meeting minutes, ensuring proper organization for auditing and subsequent approvals.</p><p>• Prepare and disseminate meeting agendas and approved minutes, including conditions of approval and additional documentation, as needed.</p><p>• Organize schedules and reservations for meeting rooms and AV equipment while ensuring all necessary materials are available.</p><p>• Take detailed meeting notes and provide support for follow-up actions to ensure smooth processes.</p><p>• Perform filing and data entry tasks efficiently to maintain accurate and accessible records.</p><p>• Utilize tools such as Excel, Word, Teams, and Outlook daily to complete assigned tasks and coordinate effectively.</p><p>• Serve as the point of contact for inbound calls, addressing inquiries and redirecting them appropriately.</p><p>• Communicate effectively across teams to ensure seamless coordination and information flow.</p><p>• Maintain a well-organized workspace and assist with administrative duties as needed.</p>
• Proven experience in administrative roles, demonstrating strong organizational skills.<br>• Proficiency in Microsoft Office applications, including Excel, Word, Teams, and Outlook.<br>• Ability to manage schedules, coordinate meetings, and maintain accurate records.<br>• Exceptional communication skills to liaise effectively with multiple teams.<br>• Strong attention to detail and the ability to prioritize tasks efficiently.<br>• Experience with filing, data entry, and receptionist duties.<br>• Capability to take accurate meeting minutes and provide actionable follow-ups.<br>• Familiarity with hybrid work environments and the ability to adapt to both in-office and remote settings.
