Administrative Assistant
We are looking for a skilled Administrative Assistant to join our team on a contract basis in Bermuda Dunes, California. In this role, you will be responsible for ensuring the smooth functioning of the front office by managing daily administrative tasks with efficiency and a detail-oriented approach. This position requires excellent organizational skills, attention to detail, and a customer-focused attitude.<br><br>Responsibilities:<br>• Welcome visitors, clients, and employees with a friendly and detail-oriented attitude, ensuring they are directed to the appropriate person or department.<br>• Organize and manage schedules, appointments, and conference room bookings to maintain an efficient workflow.<br>• Perform clerical tasks such as data entry, filing, and maintaining records to support office operations.<br>• Handle incoming and outgoing mail, packages, and deliveries promptly and accurately.<br>• Monitor inventory levels and order office supplies to ensure a well-stocked and organized workspace.<br>• Maintain and update visitor logs, databases, and other records to ensure accurate documentation.<br>• Enforce visitor check-in procedures, including ID verification and compliance with office policies.<br>• Assist with general office tasks, providing support to team members as needed.
• High school diploma or equivalent; an associate degree is preferred but not mandatory.<br>• At least one year of experience in a receptionist or administrative role.<br>• Exceptional organizational skills and the ability to multitask effectively.<br>• Strong verbal and written communication skills.<br>• Customer service mindset with the ability to handle interactions with professionalism and patience.<br>• Familiarity with scheduling software or office management tools is advantageous.<br>• Reliability, punctuality, and the ability to maintain confidentiality.<br>• Strong time management capabilities to meet deadlines and prioritize tasks.
