Sr. Administrative Coordinator
<p>We are looking for a highly organized Sr. Administrative Coordinator to provide dedicated support to the Board of Trustees and the Senior Vice President and Secretary of the Board at a university in Baltimore, Maryland. This position is ideal for someone who brings sound judgment, adaptability, and a proactive approach to managing complex administrative needs. The successful candidate will help keep executive priorities on track through strong coordination, effective communication, and dependable day-to-day support.</p><p><br></p><p>Responsibilities:</p><p>• Manage complex calendars for senior leadership and board-related activities, ensuring meetings, appointments, and key deadlines are accurately coordinated.</p><p>• Arrange travel logistics and prepare detailed itineraries for executives and board members as needed.</p><p>• Coordinate conference calls, virtual meetings, and in-person sessions while confirming schedules, materials, and participant readiness.</p><p>• Provide high-level administrative support by preparing correspondence, organizing records, and handling a wide range of office coordination tasks.</p><p>• Support Board of Trustees operations through meeting planning, scheduling assistance, and follow-up on action items.</p><p>• Maintain and process documentation with accuracy, including materials related to domestic or international shipping and export-import requirements when applicable.</p><p>• Serve as a reliable point of contact for internal and external stakeholders, responding professionally and routing requests appropriately.</p>
• Proven experience in senior-level administrative support or executive coordination roles.<br>• Strong background in calendar management with the ability to handle competing priorities and schedule changes.<br>• Experience arranging business travel and coordinating meeting logistics.<br>• Ability to manage conference calls and support both virtual and in-person meetings efficiently.<br>• Excellent written and verbal communication skills with a detail-oriented and service-oriented approach.<br>• High attention to detail and the ability to manage confidential information with discretion.<br>• Proficiency in administrative processes, document handling, and general office coordination.
