Dispatch Coordinator
We are looking for a skilled Dispatch Coordinator to join our team in Baltimore, Maryland. This Contract-to-permanent position offers an opportunity to play a critical role in managing work orders and coordinating vendor activities, while maintaining efficient administrative processes. The role is 100% onsite and requires strong organizational skills and familiarity with maintenance management.<br><br>Responsibilities:<br>• Assign and dispatch work orders and requisitions to vendors and facilities staff, ensuring timely and accurate coordination.<br>• Prepare and balance work orders and requisitions for reporting and payment purposes.<br>• Utilize various systems to track work orders, manage supply orders, process requisitions, and generate detailed reports.<br>• Maintain vendor correspondence and collaborate with the Fiscal Department to analyze invoicing data and statistics.<br>• Operate computer systems to create, format, edit, and print forms, memos, letters, and reports.<br>• Compose and prepare complex documents, including spreadsheets, statistical reports, charts, and graphs.<br>• Proofread and edit documents for accuracy before supervisor review.<br>• Develop and maintain file systems using innovative indexing methods.<br>• Ensure effective communication and scheduling with vendors and facilities staff.<br>• Monitor and manage administrative tasks related to maintenance operations.
• Proficiency in Microsoft Suite, including Outlook, Teams, Word, and Excel.<br>• Strong understanding of maintenance management practices.<br>• Familiarity with trades such as electrical, carpentry, and plumbing.<br>• Experience with dispatching and coordinating schedules.<br>• Ability to manage correspondence and vendor communication effectively.<br>• Skilled in creating and analyzing administrative reports and documents.<br>• Knowledge of construction schedules and HVAC systems is a plus.<br>• Excellent organizational and communication skills.
