Executive Assistant
<p>We are looking for a detail-oriented Executive Assistant to join our team in Bakersfield, California. This position requires someone who excels in administrative tasks, communication, and providing support to both front desk operations and the accounting department. If you thrive in a dynamic office environment and are proficient in various software applications, this role is a great opportunity to showcase your skills.</p><p><br></p><p>Responsibilities:</p><p>• Serve as the primary front desk receptionist, handling inbound calls, greeting visitors, and managing daily correspondence.</p><p>• Provide administrative support to the accounting department, including tasks related to accounts payable and accounts receivable.</p><p>• Perform daily and weekly reconciliation of contract employees’ timecards with meticulous attention to detail.</p><p>• Utilize software tools such as Microsoft Excel, Word, PowerPoint, Outlook, and Adobe for data entry, documentation, and reporting.</p><p>• Organize and maintain office documentation, including scanning, saving, and filing invoices, credit card receipts, and training materials.</p><p>• Assist the Finance Controller and other team members with clerical duties and special projects as needed.</p><p>• Manage scheduling tasks, including setting appointments and coordinating calendars.</p><p>• Complete and maintain employment eligibility forms for the company on a regular basis.</p><p>• Identify and solve problems independently, while collaborating effectively in a team environment</p>
• A minimum of 3 years of experience in an administrative or office support role.<br>• Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and Outlook.<br>• Strong written and verbal communication skills for effective customer service and correspondence.<br>• Familiarity with accounts receivable and accounts payable systems.<br>• Ability to handle inbound and outbound calls professionally.<br>• Experience in data entry and document management.<br>• Proven problem-solving skills and ability to work independently or as part of a team.<br>• Previous experience in a front desk or receptionist role is preferred.
