Executive Assistant
We are looking for a highly organized and detail-oriented Executive Assistant to support senior leadership in a fast-paced executive environment. This role requires professionalism, discretion, and excellent communication and coordination skills to manage administrative tasks and contribute to organizational success. As this is a long-term contract position, the ideal candidate will thrive in handling multiple priorities while maintaining accuracy and confidentiality.<br><br>Responsibilities:<br>• Provide comprehensive administrative support to the Corporate Secretary, General Counsel, and other executives, including managing calendars, coordinating meetings, processing expense reports, and arranging travel plans.<br>• Assist in the preparation and distribution of board and committee materials, such as agendas, meeting minutes, reports, and follow-ups on action items.<br>• Maintain and update corporate records, policies, resolutions, and governance documentation with meticulous attention to detail and compliance with legal requirements.<br>• Coordinate and support on-site events and special projects, ensuring all logistical needs are met and tasks are completed efficiently.<br>• Evaluate and prioritize tasks proactively to anticipate consequences and broader implications, ensuring seamless execution of projects.<br>• Enhance administrative workflows by identifying opportunities for process improvements and creating or updating standard operating procedures.<br>• Utilize platforms like Laserfiche and Salesforce to manage and organize documents and data effectively.<br>• Support communications with outside counsel, board members, and executives regarding regulatory filings, annual publications, and other legal matters.<br>• Conduct research on state registrations, filing requirements, and denomination-related information as needed.<br>• Collaborate on strategic initiatives and ad hoc requests, ensuring alignment with organizational objectives.
<p>• Proven experience in executive-level administrative support, preferably in a corporate or legal setting.</p><p>• Strong skills in calendar management, travel arrangements, and coordinating executive meetings.</p><p>• Exceptional written and verbal communication abilities with a focus on professionalism and clarity.</p><p>• Ability to handle confidential information with discretion and sound judgment.</p><p>• Proficiency in document management systems, such as Salesforce.</p><p>• Experience in proofreading, editing, and maintaining compliance-related documentation.</p><p>• Strong organizational skills with the ability to prioritize competing tasks and meet deadlines.</p><p>• Familiarity with legal or regulatory requirements related to corporate governance is preferred.</p>
