Administrative Assistant
We are looking for an Administrative Assistant to join our team on a contract basis in Toronto, Ontario. In this role, you will provide comprehensive administrative support to the Executive Director and the pensions team, ensuring the smooth operation of daily tasks. This is an excellent opportunity to contribute to a dynamic team while showcasing your organizational and communication skills.<br><br>Responsibilities:<br>• Provide administrative support to the Executive Director and the pensions team to ensure efficient workflow.<br>• Manage pension and benefit-related inquiries, delivering exceptional customer service to stakeholders.<br>• Perform accurate data entry and maintain up-to-date pension records in the system.<br>• Assist with the reconciliation of pension data to ensure accuracy and compliance.<br>• Support the team with a digitalization project by organizing and transitioning documents to digital formats.<br>• Coordinate and schedule appointments, meetings, and other team activities.<br>• Handle email correspondence and respond to inquiries in a timely and thorough manner.<br>• Prepare and edit documents, spreadsheets, and presentations using Microsoft Office applications.<br>• Assist with the administration of pension payments, ensuring timely processing.<br>• Answer inbound calls and provide information or direct queries to the appropriate team members.
• A minimum of 4 years of experience in office administration or a related field.<br>• Strong written and verbal communication skills with a focus on being detail oriented.<br>• Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint.<br>• Excellent organizational skills and attention to detail.<br>• Ability to manage multiple tasks and meet deadlines in a fast-paced environment.<br>• Experience with pension administration or benefits support is an asset.<br>• Strong customer service skills and the ability to handle inquiries effectively.<br>• Familiarity with data entry and reconciliation processes.
