Executive Assistant
We are looking for an experienced Executive Assistant to support a mission-driven nonprofit advancing regenerative economic initiatives in San Francisco, California. This Contract position is part-time, approximately 20–25 hours per week, and will focus on providing high-level administrative support to executive leadership while helping keep schedules, communication, and priorities running smoothly. The role is primarily remote, with a preference for someone local who can occasionally meet with the Executive Director and team members as needed. This opportunity is expected to last 2 months, with potential for extension or conversion to a permanent role depending on funding and budget approval.<br><br>Responsibilities:<br>• Manage complex calendars and coordinate scheduling across multiple priorities and time zones for executive leadership.<br>• Arrange travel logistics, prepare itineraries, and handle related changes to ensure seamless business travel.<br>• Organize executive meetings by preparing agendas, confirming participants, and tracking follow-up items.<br>• Serve as a dependable administrative partner who anticipates needs and helps keep projects and communications on track.<br>• Support day-to-day operations with document preparation, spreadsheet updates, and general administrative coordination using Google Workspace and Microsoft Office tools.<br>• Maintain clear and attentive communication with internal teams and external stakeholders on behalf of leadership.<br>• Assist with occasional in-person coordination in San Francisco, California when executive or team meetings require local support.<br>• Help monitor priorities across ongoing initiatives and ensure action items are completed accurately and on time.
• At least 3 years of executive or senior-level administrative support experience, with 4+ years strongly preferred.<br>• Proven ability to manage calendars, meetings, and travel arrangements in a fast-paced environment.<br>• Strong organizational skills with the ability to handle changing priorities and multiple workstreams effectively.<br>• Proficiency with Google Workspace, including Google Calendar, as well as Excel and other Microsoft Office applications.<br>• Excellent written and verbal communication skills, with a thoughtful and experienced approach to stakeholder interactions.<br>• Demonstrated ability to work independently, exercise sound judgment, and follow through on responsibilities with minimal oversight.<br>• Associate or bachelor’s degree preferred.<br>• Must be based near San Francisco, California to support occasional in-person meetings as needed.
