Executive Assistant
We are looking for an experienced Executive Assistant to provide high-level administrative support within a technology-focused department in Salinas, California. This Contract position will play a key role in keeping daily operations organized, ensuring executive schedules run smoothly, and supporting communication across internal teams and external partners. The ideal candidate is resourceful, detail-oriented, and comfortable handling a broad range of coordination, documentation, and office support responsibilities in a fast-paced environment.<br><br>Responsibilities:<br>• Manage the administrator’s calendar, coordinate appointments, and ensure meetings are scheduled efficiently.<br>• Arrange business travel, prepare itineraries, and handle related logistics for executive and department needs.<br>• Draft, format, and distribute correspondence, reports, agendas, and other business documents with a high degree of accuracy.<br>• Serve as a point of contact for community stakeholders, public agencies, school districts, and internal departments on behalf of leadership.<br>• Maintain organized filing systems, department records, and office documentation, including budget and accounting materials.<br>• Support financial administration by preparing purchase requests, reviewing invoices, and assisting with payment processing.<br>• Track attendance information and prepare payroll-related reports in accordance with departmental procedures.<br>• Prepare materials for board or leadership meetings, record meeting notes, and circulate finalized minutes to relevant participants.<br>• Provide guidance and cross-training to staff on clerical processes and assist with special assignments as directed by the supervisor.
• Minimum of 2 years of experience in an executive assistant or high-level administrative support role.<br>• Demonstrated ability to manage complex calendars, coordinate executive meetings, and prioritize multiple tasks effectively.<br>• Experience arranging travel and handling related scheduling and logistical details.<br>• Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.<br>• Strong written communication skills with the ability to prepare clear correspondence, reports, and meeting materials.<br>• Working knowledge of basic budgeting, invoice processing, payroll reporting, or other administrative financial tasks.<br>• Ability to exercise sound judgment, maintain confidentiality, and work independently in an office environment.
