Executive Assistant
We are looking for an experienced Executive Assistant to support senior leadership and help keep daily business operations running smoothly in California. This contract-to-permanent position is well suited for someone who thrives in a fast-paced setting, communicates effectively, and can balance executive support with operational coordination. The ideal candidate brings strong judgment, exceptional writing ability, and the confidence to manage shifting priorities while delivering a high level of service.<br><br>Responsibilities:<br>• Provide high-level administrative support to executives, ensuring schedules, communications, and priorities are managed efficiently.<br>• Coordinate complex calendars, meetings, and appointments while anticipating conflicts and adjusting plans as business needs change.<br>• Arrange business travel, prepare detailed itineraries, and oversee related logistics to support seamless executive movement.<br>• Track invoices and assist with expense-related documentation to maintain organized and accurate records.<br>• Review key projects and follow up on action items to help leadership maintain momentum on important initiatives.<br>• Support day-to-day office and team operations by keeping workflows organized and addressing time-sensitive needs promptly.<br>• Serve as a reliable point of contact for internal teams and external partners, delivering responsive and high-quality customer service.<br>• Contribute to team oversight and coordination efforts by helping align tasks, priorities, and communication across the group.
• At least 2 years of experience in an Executive Assistant or comparable high-level administrative support role.<br>• Background supporting senior executives such as CEOs, vice presidents, or other leadership stakeholders.<br>• Excellent written and verbal communication skills with the ability to interact professionally in high-pressure situations.<br>• Strong project coordination abilities combined with sound administrative judgment and attention to detail.<br>• Proficiency with Microsoft Office applications, including Excel and Outlook.<br>• Experience handling calendar management, executive meetings, and travel coordination with a high degree of accuracy.<br>• Customer service or retail-facing experience that demonstrates composure, responsiveness, and professionalism.
