Executive Assistant
We are looking for an Executive Assistant to join a fast-paced audio visual company serving hotel and corporate clients in California. This contract opportunity is ideal for a proactive individual who can provide high-level administrative and operational support while keeping priorities organized across a busy business. The role combines executive support, office coordination, and project-related assistance for leadership, requiring sound judgment, strong communication, and the ability to adapt quickly as needs change.<br><br>Responsibilities:<br>• Manage calendars, coordinate meetings, and keep leadership schedules aligned with changing business priorities.<br>• Arrange business travel, including hotel bookings, itineraries, and related logistics for executives and team members.<br>• Support employee onboarding and assist with coordination involving contractors and external partners.<br>• Track receipts, organize documentation, and help ensure payables are properly matched to purchase orders.<br>• Order equipment and office supplies while maintaining organized records and filing systems.<br>• Provide day-to-day office support, including conference preparation, errands, food pickup, and general workplace coordination.<br>• Assist leadership with project follow-up by monitoring action items and helping drive completion of outstanding tasks.<br>• Contribute ideas for improving administrative workflows and creating more efficient internal processes.
• 3+ years of experience in an Executive Assistant or closely related administrative support role.<br>• Strong calendar management and travel coordination experience in a fast-moving business environment.<br>• Proficiency with Google Suite and QuickBooks.<br>• Excellent verbal and written communication skills with a detail-oriented and service-oriented approach.<br>• Highly organized with the ability to manage multiple priorities and maintain attention to detail.<br>• Demonstrated problem-solving ability and confidence in taking initiative with minimal direction.<br>• Comfortable supporting multiple stakeholders and adjusting quickly to shifting needs and deadlines.
