Executive Assistant
We are looking for an Executive Assistant to provide high-level support to senior leadership in Florida. This contract opportunity is ideal for someone who brings sound judgment, strong organization, and a refined approach to executive support. The person in this role will help keep daily operations on track by coordinating schedules, managing communications, and ensuring important administrative details are handled accurately and efficiently.<br><br>Responsibilities:<br>• Oversee complex executive calendars, schedule internal and external meetings, and resolve conflicts to keep priorities aligned.<br>• Coordinate business travel plans, including itineraries, transportation, and lodging, while ensuring arrangements support changing executive needs.<br>• Draft, format, and distribute business materials such as reports, memos, letters, and other business documents.<br>• Record key discussion points during meetings, organize notes, and maintain accurate documentation for follow-up and reference.<br>• Review incoming calls, emails, and correspondence, determine urgency, and route information to the appropriate executive or stakeholder.<br>• Provide day-to-day administrative support by organizing office activities, managing routine tasks, and helping maintain an efficient work environment.<br>• Assist with basic bookkeeping duties, including tracking administrative expenses and maintaining organized financial records when needed.
• Proven experience supporting executives or senior leaders in an administrative capacity.<br>• Strong ability to manage calendars, coordinate meetings, and handle shifting priorities with discretion.<br>• Experience arranging business travel and maintaining detailed itineraries.<br>• Excellent written and verbal communication skills for preparing clear, well-structured correspondence and documents.<br>• High level of organization, dependability, and attention to detail in a fast-paced setting.<br>• Ability to take accurate meeting notes and maintain well-structured records.<br>• Confident and effective in working closely with senior leadership.
