Administrative Assistant
We are looking for a highly organized and detail-oriented Administrative Assistant to join our team in Fort Wayne, Indiana. This contract-to-permanent position offers an opportunity to support and coordinate multiple projects while ensuring compliance and effective communication across departments. The ideal candidate will bring strong project management skills and a proactive approach to problem-solving.<br><br>Responsibilities:<br>• Manage and oversee a portfolio of concurrent projects, ensuring milestones, dependencies, and risks are tracked effectively.<br>• Develop and maintain compliance oversight programs that align with regulatory standards and organizational priorities.<br>• Support change management processes by crafting frameworks for implementation and conducting thorough testing strategies.<br>• Plan and coordinate project timelines, deliverables, and stakeholder communication to ensure smooth execution.<br>• Facilitate meetings by preparing agendas, documenting outcomes, and sharing post-meeting notes with relevant teams.<br>• Create and manage centralized documentation repositories to support audit and compliance requirements.<br>• Deliver concise and accurate reporting on project progress, risks, and compliance adherence.<br>• Organize and maintain files, ensuring accessibility and proper categorization.<br>• Coordinate schedules and meetings, effectively communicating updates and addressing barriers.<br>• Provide exceptional customer service and ensure seamless collaboration across diverse teams.
• Demonstrated ability to manage multiple projects simultaneously in a fast-paced environment.<br>• Excellent verbal and written communication skills to effectively collaborate across departments.<br>• Proficiency in Microsoft Office tools, including Excel, Outlook, PowerPoint, and Word.<br>• Experience with project management tools such as Microsoft Project or Smartsheet.<br>• Strong organizational skills and attention to detail to anticipate challenges and address risks proactively.<br>• Ability to work under pressure and adapt to changing priorities while meeting deadlines.<br>• Familiarity with change management strategies and testing methodologies.<br>• Customer service experience and a collaborative approach to team dynamics.
