Executive Assistant
We are looking for an Executive Assistant to support senior leadership through thoughtful coordination, strong organization, and dependable day-to-day administrative support. This Long-term Contract position is ideal for someone who can manage shifting priorities, maintain well-structured schedules, and ensure travel and meetings run smoothly. The role requires excellent attention to detail, sound judgment, and the ability to keep executive operations organized and efficient.<br><br>Responsibilities:<br>• Manage complex executive calendars, balancing priorities and adjusting schedules to accommodate changing business needs.<br>• Arrange domestic and international travel plans, including itineraries, transportation, lodging, and related logistics.<br>• Coordinate meeting schedules for leadership, ensuring participants, timing, and materials are aligned in advance.<br>• Prepare and organize travel details so executives have clear, accurate information for upcoming trips.<br>• Support executive meetings by handling scheduling logistics, confirming attendance, and helping meetings stay well organized.<br>• Monitor calendar conflicts and proactively recommend solutions that improve time management and workflow efficiency.<br>• Maintain clear and effective communication with internal and external stakeholders regarding scheduling and travel coordination.
• Proven experience providing administrative support in an executive assistant or similar role.<br>• Strong ability to manage calendars involving multiple priorities and time-sensitive changes.<br>• Demonstrated experience booking and coordinating business travel arrangements with accuracy.<br>• Comfortable organizing executive meetings and handling related scheduling details.<br>• Excellent written and verbal communication skills in a detail-oriented business environment.<br>• High level of organization, discretion, and attention to detail.<br>• Ability to work independently while managing competing deadlines effectively.
