Executive Assistant
We are looking for a dedicated and experienced Executive Assistant to join a nonprofit organization based in Brookfield, Illinois. This contract position involves providing high-level support to a Senior Vice President, ensuring smooth operations and guest-facing functions. If you thrive in a fast-paced, dynamic environment and excel at managing multiple priorities, this role offers an opportunity to make a meaningful impact.<br><br>Responsibilities:<br>• Manage and maintain complex calendars, including coordinating schedules and adapting to changes promptly.<br>• Organize and facilitate internal and external meetings, including preparing agendas, distributing materials, and following up on action items.<br>• Handle sensitive and confidential information with utmost discretion and professionalism.<br>• Draft, proofread, and edit correspondence, memos, and other communications as needed.<br>• Assist in coordinating projects by tracking deadlines and ensuring deliverables are met.<br>• Process expense reports, invoices, and purchase orders efficiently and accurately.<br>• Provide operational and administrative support to ensure seamless daily workflows.<br>• Collaborate with team members to address urgent tasks and maintain high visibility within the organization.
• Minimum of 3 years of experience as an Executive Assistant supporting senior leadership, preferably in a nonprofit or operational setting.<br>• Demonstrated expertise in managing calendars and anticipating scheduling needs.<br>• Exceptional written and verbal communication skills, coupled with strong interpersonal abilities.<br>• Highly organized and detail-oriented, with a proven ability to juggle multiple priorities effectively.<br>• Proactive and resourceful approach to problem-solving, thriving in fast-paced environments.<br>• Proficiency in Microsoft Office Suite, including Outlook and Teams.<br>• Ability to work fully onsite Monday through Friday.<br>• Experience with travel arrangements and executive meeting coordination preferred.
