Office Coordinator
We are looking for a detail-oriented Office Coordinator to support daily administrative operations for a consultancy team in British Columbia. This is a Contract position and requires a reliable team member who can provide strong front-office support, coordinate office activities, and help maintain an efficient and welcoming workplace. The successful candidate will work closely with office leadership, manage a range of administrative tasks, and contribute to smooth day-to-day operations in a fully on-site environment.<br><br>Responsibilities:<br>• Welcome visitors and provide courteous reception support while ensuring incoming calls are handled promptly and directed appropriately.<br>• Coordinate day-to-day office activities, including monitoring shared inboxes, responding to routine inquiries, and supporting general administrative workflows.<br>• Work alongside the Office Manager to keep the workspace organized and address facility or maintenance concerns as they arise.<br>• Arrange courier services, prepare materials and logistics for field program activities, and support the coordination of internal office needs.<br>• Assist with planning and setup for lunches, meetings, and client-facing events to help ensure a seamless and well-organized experience.<br>• Open and maintain files within the network and database system, including entering client information into Vision or a comparable platform based on submitted requests.<br>• Support broader office requirements related to building and workplace operations as needed during ongoing administrative changes.<br>• Handle scheduling and other clerical duties with accuracy, service excellence, and attention to deadlines.
• Previous experience in an office coordination, reception, or administrative support role.<br>• Strong ability to manage inbound calls, email communication, and day-to-day customer service interactions effectively.<br>• Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint.<br>• Accurate data entry skills and experience maintaining records within a database or shared system.<br>• Ability to organize multiple tasks, manage competing priorities, and work effectively in a fully on-site setting.<br>• Experience coordinating meetings, appointments, or event-related logistics in a detail-oriented office environment.<br>• Familiarity with Vision software or similar client or document management systems is considered an asset.
