Executive Assistant
<p>We are looking for a dedicated and resourceful Executive Assistant to support senior leadership in their daily operations. This short-term contract position is ideal for someone skilled in managing complex schedules, coordinating travel arrangements, and handling sensitive administrative tasks. Based in Toronto, Ontario, this role requires a high level of professionalism and discretion.</p><p><br></p><p>Responsibilities:</p><p>• Manage and organize the executive’s calendar, ensuring seamless scheduling of appointments and meetings.</p><p>• Coordinate domestic and international travel arrangements, including accommodations and itineraries.</p><p>• Prepare and process expense reports, ensuring accuracy and timely submission.</p><p>• Act as the primary point of contact for internal and external communications on behalf of the executive.</p><p>• Handle confidential information with the highest level of discretion and professionalism.</p><p>• Assist in the preparation of documents, presentations, and reports for meetings.</p><p>• Monitor and prioritize incoming emails and correspondence to streamline communication.</p><p>• Facilitate the planning and execution of events and meetings, ensuring all logistics are handled efficiently.</p><p>• Resolve scheduling conflicts and anticipate potential issues to minimize disruptions.</p><p>• Provide general administrative support to ensure the executive’s daily operations run smoothly.</p>
• Proven experience as an Executive Assistant supporting senior leadership or C-suite executives.<br>• Strong organizational skills with the ability to manage multiple tasks and priorities.<br>• Advanced proficiency in calendar management and scheduling software.<br>• Expertise in coordinating travel arrangements, both domestic and international.<br>• Familiarity with expense reporting systems and processes.<br>• Excellent verbal and written communication skills.<br>• High level of discretion and ability to handle sensitive information.<br>• Proficiency in Microsoft Office Suite and other relevant tools.
