Executive Assistant
We are looking for a highly organized Executive Assistant to provide contract support to senior leadership in London, Ontario. This Contract position is ideal for someone who excels in managing executive priorities, coordinating board-related activities, and keeping administrative operations running smoothly. The successful candidate will bring strong judgement, professionalism, and the ability to handle confidential matters while supporting meetings, communications, and day-to-day executive needs.<br><br>Responsibilities:<br>• Manage incoming communications and general corporate inquiries, draft timely responses, and track follow-up items to completion.<br>• Organize agendas, schedules, and supporting materials for board, committee, and leadership meetings.<br>• Attend meetings when needed to capture accurate notes, prepare formal minutes, and maintain secure documentation.<br>• Coordinate all meeting and event logistics, including board sessions, special events, and the annual general meeting.<br>• Maintain accurate records by updating databases, forms, logs, and filing systems on an ongoing basis.<br>• Compile, prepare, and circulate monthly board packages while following up on action items and deliverables for board members.<br>• Provide calendar support for senior executives, arranging internal and external meetings and adjusting priorities as needed.<br>• Assist with travel coordination, expense reporting, and document preparation, including scanning and photocopying administrative materials.
• Minimum 3 years of experience in an Executive Assistant or senior administrative support role.<br>• Demonstrated experience supporting C-suite leaders in a fast-paced, detail-focused environment.<br>• Strong background in calendar management, meeting coordination, and executive scheduling.<br>• Experience preparing board-related documentation, reports, agendas, and meeting packages.<br>• Ability to coordinate travel arrangements and complete expense submissions accurately and on time.<br>• Proficiency with general administrative tasks such as document handling, scanning, filing, and records management.<br>• Strong written communication skills with the ability to prepare clear correspondence and accurate meeting minutes.
