  • Position Overview<br>Our client is seeking a highly organized and proactive Virtual Sales Assistant to support a growing sales and client engagement team. This individual will serve as a key partner to leadership, helping manage client communications, coordinate appointments, prepare proposals, and ensure smooth day-to-day operations.<br><br>The ideal candidate is someone who enjoys working with people, communicates with professionalism and warmth, and takes initiative to identify opportunities to improve processes and support the team.<br><br>This is a remote contract-to-hire opportunity with the potential to transition into a permanent position based on performance and business needs.<br><br>Key Responsibilities<br><br>Prepare and send client proposals using an internal proposal tool (training provided)<br><br>Make outbound calls to prospective companies to introduce services and schedule appointments<br><br>Support new client onboarding and assist with coordinating client meetings<br><br>Schedule appointments and maintain calendars, with a goal of securing approximately six completed meetings per week<br><br>Conduct customer service outreach, including contacting clients to update payment information, confirm details, and schedule renewal or strategy conversations<br><br>Assist in creating and maintaining documents that outline vendor partnerships, advertising opportunities, and service offerings<br><br>Maintain organized records using Google Sheets and Google Docs to track agreements, offerings, and client information<br><br>Monitor communication channels and respond to inquiries in a timely and professional manner<br><br>Provide administrative and operational support to leadership and the sales team<br><br>Proactively identify additional tasks and opportunities to streamline processes and improve efficiency<br><br>Qualifications<br><br>Previous experience in administrative support, sales support, virtual assistance, or customer service<br><br>Strong communication skills with a professional and friendly phone presence<br><br>Experience making outbound calls and scheduling appointments<br><br>Excellent organization and attention to detail<br><br>Ability to manage multiple priorities and work independently in a remote environment<br><br>Proficiency with Google Workspace (Docs, Sheets, Calendar)<br><br>Comfortable learning new tools and systems<br><br>Strong customer service mindset with a positive, engaging communication style<br><br>Preferred Qualifications<br><br>Experience supporting sales teams or client relationship management<br><br>Background in marketing, advertising, or account coordination<br><br>Experience with CRM systems or proposal management tools<br><br>Work Schedule<br><br>Part-time to start with goal to move to Full-time, Monday through Friday<br><br>Ideal Work hours between 8:00am-2:30pm PST<br><br>Occasional evening events (approximately once per month) may be required if the candidate is local<br><br>What Success Looks Like in This Role<br><br>Consistently scheduling and coordinating client appointments<br><br>Maintaining accurate and organized client and vendor documentation<br><br>Supporting the sales team so they can focus on building client relationships and growing the business<br><br>Acting as a trusted operational partner and right-hand support to leadership
