The role will contribute to artist and consignor payment processes, invoice handling, and general ledger activity while partnering closely with internal teams to keep information complete and current.<br><br>Responsibilities:<br>• Manage and update account records for artists and consignors tied to both primary and secondary market transactions, ensuring information remains accurate and up to date.<br>• Review, code, and enter invoices into Microsoft Dynamics 365 with appropriate backup documentation and proper accounting treatment.<br>• Maintain payment tracking files and financial schedules related to artist activity, keeping records organized and current for reporting purposes.<br>• Oversee the shared inbox for artist payments by responding to questions, requesting missing details, and following through on outstanding items promptly.<br>• Coordinate with internal departments to gather invoices, payment instructions, and supporting materials required for timely processing.<br>• Prepare recurring payment journal entries for artist and consignor disbursements and ensure transactions are recorded correctly.<br>• Assemble payment approval packages for amounts above signature limits, including all necessary documentation and supporting schedules.<br>• Record general ledger entries associated with cost of sales, commissions, advisor fees, and other related transaction activity.<br>• Assist senior accounting staff with commission calculations, payment analysis, reporting needs, and additional finance projects as assigned.
