Administrative Assistant
We are looking for an Administrative Assistant to support daily office operations in a busy property setting in Rhode Island. This Long-term Contract position is ideal for someone who is highly organized, detail oriented, and comfortable assisting a diverse tenant population in a fast-moving environment. The role focuses on front-office coordination, resident communication, and administrative support while ensuring requests are handled accurately and efficiently.<br><br>Responsibilities:<br>• Manage daily administrative tasks, including document preparation, filing, scheduling, and general office coordination.<br>• Receive inbound calls and greet visitors courteously, providing helpful assistance and directing inquiries appropriately.<br>• Log tenant maintenance requests and work orders with accuracy, ensuring follow-up information is properly recorded.<br>• Use Yardi to maintain records, enter data, and support property-related administrative processes.<br>• Respond to tenant questions and concerns with patience, courtesy, and strong customer service skills.<br>• Support leasing-related administrative activities when needed, including preparing paperwork and coordinating communications.<br>• Maintain an organized reception and office area while helping the team operate efficiently in a high-volume setting.
• Prior experience in an administrative assistant, receptionist, or office support role.<br>• Proficiency with Yardi and confidence working in office systems for data entry and record maintenance.<br>• Strong verbal communication skills with the ability to handle inbound calls and in-person interactions professionally.<br>• Demonstrated customer service and hospitality skills in fast-paced or high-contact environments.<br>• Ability to stay organized, manage multiple priorities, and respond effectively under pressure.<br>• Comfortable interacting with a broad range of tenants and addressing situations with professionalism and composure.<br>• Accurate data entry skills and strong attention to detail.
