Project Assistant
We are looking for a highly organized Project Assistant to support a busy non-profit team in Vienna, Virginia. This Long-term Contract position is ideal for someone who combines strong administrative experience with project coordination skills and a sharp eye for detail. The role will contribute to marketing and event-related initiatives by keeping schedules on track, maintaining accurate records, and coordinating with internal teams and external partners. Success in this position requires excellent communication, confidence with business software, and the ability to manage follow-up tasks in a fast-paced environment.<br><br>Responsibilities:<br>• Coordinate day-to-day project activities for a large team, helping maintain schedules, deadlines, and deliverables across multiple initiatives.<br>• Provide administrative and project support for marketing and event programs, ensuring tasks are completed accurately and on time.<br>• Enter, update, and maintain detailed information in tracking systems, databases, and reports with a high degree of accuracy.<br>• Prepare, organize, and distribute status reports, documentation, and project materials for stakeholders and team members.<br>• Use tools such as Microsoft Office, SharePoint, Cvent, project management platforms, and Microsoft Dynamics CRM to support workflow and communication.<br>• Manage vendor coordination for onsite catering and event-related logistics, including scheduling, follow-up, and issue resolution.<br>• Track action items and conduct consistent follow-up with internal contacts and external partners to keep projects moving forward.<br>• Support adoption of a newly implemented project management system through data organization, record maintenance, and process coordination.
• At least 5 years of relevant experience, including 4 or more years in administrative or project support roles.<br>• Demonstrated background in project coordination, with the ability to manage timelines and handle multiple priorities effectively.<br>• Proficiency in Microsoft Office Suite, including the ability to create reports, manage spreadsheets, and prepare clear documentation.<br>• Experience working with business platforms such as Cvent, Microsoft SharePoint, Microsoft Dynamics CRM, and project management software such as monday.com.<br>• Strong attention to detail with proven success in data entry, record accuracy, and document organization.<br>• Experience supporting marketing initiatives, events, or related operational activities.<br>• Excellent written and verbal communication skills, along with strong follow-up and vendor coordination abilities.<br>• Comfortable learning new technology quickly and working effectively in a fast-paced team environment.
