Facilities Assistant
We are looking for a Facilities Assistant to support day-to-day workplace operations in Tempe, Arizona. This contract position offers the opportunity to join a collaborative on-site team and help maintain a safe, organized, and responsive environment for employees across multiple office floors. The ideal candidate will serve as a key point of contact for facilities needs, coordinate service requests, and help ensure vendors, building partners, and internal stakeholders receive timely support.<br><br>Responsibilities:<br>• Oversee daily facilities activity across the office, proactively identifying issues and ensuring the workspace remains functional, safe, and well maintained.<br>• Respond to employee and client facility requests, investigate concerns, and drive timely resolution while providing clear status updates and follow-through.<br>• Create, assign, and monitor work orders for engineers, service providers, and external vendors, tracking progress through completion and maintaining accurate records.<br>• Coordinate repairs, preventive maintenance, and building support services by working closely with landlords, contractors, and internal team members.<br>• Review vendor proposals, collect supporting documentation, confirm completed work, and assist with invoice verification and payment processing.<br>• Support site inspections and help uphold location-specific maintenance and safety practices in alignment with established procedures.<br>• Monitor vendor performance, provide guidance on work order and billing expectations, and help ensure services are delivered to agreed standards.<br>• Assist with complex facilities matters, including urgent building concerns, environmental issues, and recovery-related support, while documenting communications and outcomes.<br>• Help organize workplace events and provide operational support that contributes to a positive employee experience.<br>• Track service metrics and workflow activity, contribute to KPI and SLA reporting, and assist with facilities help desk coverage as needed.
• Previous experience in facilities coordination, office operations, or workplace support within an on-site corporate environment.<br>• Working knowledge of CMMS or other computerized maintenance management systems for handling service requests and asset-related tasks.<br>• Ability to manage conference room support, maintenance scheduling, and vendor coordination with strong attention to detail.<br>• Comfortable communicating with employees, contractors, landlords, and service providers in a detail-focused and customer-focused manner.<br>• Experience reviewing work orders, tracking open issues, and maintaining accurate operational documentation.<br>• Familiarity with invoice processing, vendor billing procedures, or administrative support tied to facilities services.<br>• Proficiency with standard office technology and the ability to learn tools such as Kronos Timekeeping System when required.
