Office Assistant
We are looking for a dependable Office Assistant to support daily administrative and facility-related operations for a busy construction and contractor environment in Seattle, Washington. This Contract position plays an important role in keeping the office organized, well-stocked, and ready to support employees, visitors, and business activities. The ideal candidate is service-oriented, attentive to workplace needs, and comfortable handling a mix of reception, clerical, and office coordination responsibilities.<br><br>Responsibilities:<br>• Coordinate day-to-day office support activities, helping staff with workplace needs related to supplies, shared spaces, and general facility matters.<br>• Respond to service issues within the office and work with building or property contacts to help address maintenance concerns such as lighting, cleaning, and repair requests.<br>• Monitor inventory for office and kitchen materials, prepare replenishment requests, and route orders for approval as needed.<br>• Manage shared meeting space schedules, set up conference rooms for internal or client meetings, arrange catering requests, and maintain a neat appearance in common areas.<br>• Provide front desk and administrative coverage when needed, including answering inbound calls, greeting visitors, scanning documents, and assisting with general clerical tasks.<br>• Support office logistics by helping coordinate workspace changes or internal moves while minimizing disruption to daily operations.<br>• Observe workplace conditions for basic safety concerns, take appropriate action when possible, and escalate issues to the proper contacts for resolution.<br>• Partner with office leadership and support teams to post workplace notices, policy updates, and safety materials in visible and relevant locations.<br>• Stay informed on emergency procedures, office response resources, and related readiness practices to help maintain a safe work environment.<br>• Contribute to process improvement efforts by reviewing routine procedures, identifying practical enhancements, and assisting with other assigned office support duties.
• Prior experience in an office support, receptionist, or administrative assistant role.<br>• Ability to manage multiple clerical tasks efficiently, including scanning, filing, scheduling, and handling inbound phone calls.<br>• Strong communication and customer service skills with a detail-oriented and helpful approach.<br>• Comfortable supporting facility-related needs and coordinating with vendors, building management, or internal teams.<br>• Organized and detail-oriented with the ability to maintain orderly meeting spaces, supply areas, and reception areas.<br>• Able to identify routine workplace issues, use sound judgment, and follow through on next steps.<br>• Proficiency with standard office tools and calendars used for scheduling and administrative support.
