Executive Assistant
We are looking for an experienced Executive Assistant to provide high-level administrative support in a contract position. This role is ideal for someone who excels in a fast-paced environment, manages competing priorities with sound judgment, and brings a strong, service-oriented approach to executive and board support. The position plays a central role in coordinating executive operations, leadership activities, and board-related logistics while handling sensitive information with discretion.<br><br>Responsibilities:<br>• Manage a demanding executive calendar by coordinating meetings, resolving scheduling conflicts, and ensuring leaders are prepared for upcoming commitments.<br>• Arrange detailed travel logistics, create organized itineraries, and assemble briefing materials for meetings, events, and external engagements.<br>• Act as a primary administrative contact for board-related activities, helping organize communications, meeting materials, and follow-up actions.<br>• Draft clear correspondence, acknowledgements, and other written documents that support executive communications and organizational priorities.<br>• Coordinate onsite logistics for board and leadership meetings by working closely with facilities, catering, and event support teams.<br>• Monitor deadlines and shifting priorities, take initiative on urgent matters, and drive assignments through completion with minimal oversight.<br>• Support senior leadership operations through meeting scheduling, agenda preparation, note coordination, and tracking of action items and deliverables.<br>• Reconcile budget activity and credit card expenses, maintaining accurate records and timely reporting.<br>• Uphold confidentiality when working with executives, board members, donors, and other key stakeholders.<br>• Contribute to a collaborative workplace culture by promoting strong internal service standards and supporting equity and anti-racism efforts across the department.
• Demonstrated experience supporting senior executives in an administrative or executive assistant capacity.<br>• Strong calendar management skills with the ability to coordinate complex scheduling across multiple stakeholders.<br>• Proven ability to organize travel arrangements, meeting logistics, and executive materials with a high level of accuracy.<br>• Excellent written and verbal communication skills, including preparation of clear correspondence and meeting documentation.<br>• Experience handling confidential information with discretion and sound judgment.<br>• Proficiency with business tools such as Microsoft Office, Concur, CRM platforms, Cisco Webex Meetings, and timekeeping or expense systems.<br>• Ability to manage multiple priorities under tight deadlines while maintaining strong attention to detail and follow-through.<br>• Comfortable collaborating across departments and supporting board, leadership, and staff interactions in a service-focused environment.
