Executive Assistant
We are looking for a highly skilled Executive Assistant to provide comprehensive support to senior leadership in Richmond, Virginia. In this long-term contract position, you will play a crucial role in managing administrative tasks, ensuring seamless coordination of executive activities, and maintaining professionalism in a dynamic and fast-paced environment. This position requires exceptional organizational abilities, discretion in handling sensitive information, and a proactive approach to anticipating the needs of executives.<br><br>Responsibilities:<br>• Manage complex executive calendars, ensuring efficient scheduling and coordination of meetings, travel, and appointments.<br>• Facilitate travel arrangements, including booking flights, accommodations, and transportation, while ensuring cost-effectiveness and accuracy.<br>• Prepare, review, and refine executive-level documents such as reports, presentations, and correspondence with a high level of attention to detail.<br>• Organize and support executive meetings, board sessions, and special events by handling agendas, materials, minutes, and post-meeting follow-ups.<br>• Act as a key liaison between executives and internal or external stakeholders, maintaining confidentiality and professionalism.<br>• Monitor and prioritize tasks and deadlines, ensuring timely completion of deliverables and alignment across teams.<br>• Handle sensitive information with discretion, ensuring compliance with privacy and confidentiality standards.<br>• Assist with managing expense reports, tracking budgets, and processing invoices to support financial operations.<br>• Identify opportunities to streamline administrative processes and enhance overall executive efficiency.<br>• Provide proactive support by anticipating executive needs and addressing challenges before they arise.
• Minimum of 5 years of experience in providing administrative support to senior executives.<br>• Proven expertise in calendar management and travel coordination.<br>• Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration platforms like Teams and Zoom.<br>• Strong written and verbal communication skills, including the ability to handle executive-level correspondence.<br>• Exceptional organizational and time management skills with the ability to prioritize effectively.<br>• High degree of professionalism, discretion, and emotional intelligence.<br>• Experience supporting C-suite executives or board-level professionals is highly preferred.<br>• Ability to work independently in a fast-paced environment while managing multiple priorities.
