Fleet Coordinator
We are looking for an Operations Specialist to join a busy team in Phoenix, Arizona in a contract-to-permanent capacity. This position focuses on administrative coordination for fleet-related activities, ensuring records, documentation, and compliance materials remain accurate and accessible. The role is ideal for someone who is highly organized, communicates effectively, and can manage multiple priorities while supporting day-to-day operational needs.<br><br>Responsibilities:<br>• Maintain accurate fleet information across various databases and operational tracking tools, ensuring records stay current and reliable.<br>• Organize and manage digital files related to vehicle registrations, insurance paperwork, titles, and other compliance documentation.<br>• Communicate with drivers and internal contacts to gather missing information and confirm required documents are submitted on time.<br>• Support operational projects by researching state-specific requirements and helping coordinate documentation needed for vehicle title updates.<br>• Monitor the status of fleet-related tasks and follow through on outstanding items to help keep projects moving toward completion.<br>• Perform detailed record reviews to support reporting accuracy and maintain compliance with documentation standards.<br>• Provide administrative assistance to the operations team, including data entry, document handling, and general coordination support.
• At least 2 years of experience in an administrative, coordination, or office support role.<br>• Strong organizational skills with the ability to balance multiple assignments and meet deadlines consistently.<br>• Clear written and verbal communication skills for working with drivers and cross-functional teams.<br>• High level of accuracy in data entry, document management, and record maintenance.<br>• Comfort working in multiple software systems, databases, and Microsoft Office applications such as Excel, Outlook, and Word.<br>• Ability to research processes and interpret requirements across different states or jurisdictions.<br>• Previous experience supporting fleet, logistics, transportation, or operations functions is preferred.<br>• Familiarity with vehicle records, compliance documentation, or similar administrative processes is a plus.
