Executive Assistant
We are looking for an experienced Executive Assistant to support a senior leader in a contract role based in Olympia, Washington. This position focuses on keeping a fast-moving schedule organized, maintaining clear communication with internal and external stakeholders, and helping day-to-day priorities stay on track. The ideal candidate brings strong judgment, discretion, and the ability to manage competing demands in a hybrid work environment.<br><br>Responsibilities:<br>• Oversee a complex executive calendar, coordinating meetings with careful attention to timing, availability, and scheduling logistics.<br>• Serve as a key point of contact for the Executive Director, managing communications and helping direct inquiries to the appropriate parties.<br>• Assess incoming requests and shifting priorities to ensure urgent matters are addressed promptly and efficiently.<br>• Track action items, deadlines, and follow-up needs so important commitments are completed on time.<br>• Attend meetings, capture clear notes, and distribute summaries with next steps and ownership details.<br>• Draft and organize clear and accurate correspondence, presentations, and other administrative materials using Microsoft Office tools.<br>• Coordinate meeting logistics for internal and external participants, including virtual sessions held through Zoom.<br>• Support workflow organization by monitoring tasks, maintaining order across competing responsibilities, and reinforcing smooth daily operations.<br>• Review interview-related documentation and notes to help maintain accurate records and support hiring coordination.
• At least 3 years of experience providing administrative or executive support in a fast-paced, detail-focused setting.<br>• Demonstrated success managing high-volume calendars and resolving scheduling conflicts with sound judgment.<br>• Strong written and verbal communication skills, with the ability to interact effectively with a wide range of stakeholders.<br>• Proficiency with Microsoft Office and Zoom for scheduling, documentation, presentations, and virtual meetings.<br>• Experience preparing meeting notes, tracking follow-ups, and maintaining organized records.<br>• Ability to prioritize competing tasks, protect executive time, and adapt quickly to changing business needs.<br>• High level of discretion, sound conduct, and reliability when handling sensitive information.
